Create and manage users and groups to enhance productivity.

Access level management

eformsign supports up to 5 levels of access, only the administrators have the rights to create and manage users and groups. Different types of controls are granted to users based on their roles in an organization, safeguarding all eDocuments and data stored in the account.

5 types of access control

Administrator

  • Access to all menu
  • Lookup, create, and manage all eDocuments
  • Grant another user as the main administrator(Admin) Company Management > Company Profile > Click ‘Delegate Role’ button

Company Management

  • Access to Company Management Menu
  • Edit, lookup company, group, and member information
  • Set another user as “Company Manager” (Admin) Company Management > Member Management > Select the “Company Management” option

Template Management

  • Access to Template Management Menu
  • Register, edit, publish, and delete template
    • Template Manager who has registered the template becomes the ”Template Owner”
    • If the template manager is not the owner of the template, one can only check the template settings and duplicate the template.
  • Granting access: (Admin, Company Manager) Company Management > Member Management > Member's Detail > Select the 'Template Management' option

Document Creation

  • Assign the “Writer” role to all templates
  • User with the “writer” role can create an eDocument using the template on “New Document” menu
  • Granting access: (Admin, Template Manager) Template Management > Template Settings > Workflow Settings > Start Step Tab > Manage the members who can create the document

Document Management

  • Assign “Document Manager” for all templates
  • Lookup and delete eDocuments
  • Granting access: (Admin, Template Manager) Template Management > Template Settings > Select a Document Manager > Select the member or group from the list

    • Lookup, create, and manage all eDocuments

    • Access to Company Management Menu
    • Edit, lookup company, group, and member information

  3. Template Management

    • Access to Template Management Menu

      • Template Manager who has registered the template becomes the “Template Owner”

Adding a new member

  1. Log in to eformsign.
  2. Navigate to Company Management > Member Management Menu
  3. Click "Invite Members"
  4. Enter new member email, eformsign ID and phone number
  5. Click “Send” to send the invitation URL

If you need to add more than one user, use the “Bulk Invitation” feature to invite more members

FAQs on Access Management

  • Do deactivated members count on the plan's maximum number of users? open

    The number of user accounts is the sum of active and invited members.

    Number of users = Active Member + Invited Member

    Therefore, deactivated members do not get accumulated to the plan's maximum number of users.

  • Can I invite multiple members at once? open

    Yes. You can invite members at once. However, only company manager or administrator can send out member invitation.

    Invitation can be sent via Left Menu (≡) > Company Management > Member Management. Multiple members can be invited by inserting semi-colon(;) between email addresses.

    e.g. member1@forcs.com ; member@forcs.com ; member3@forcs.com
    You can also upload excel file of members for an invitation if you are subscribed to a paid plan.

  • I would like to set manager before the members accept their invitations. open
    After inviting the members, the user may assign the members as manager on Member Management > Invited Member tab. Also, the user may assign members as manager on Template Management > Template Settings (Gear Icon)
