Invite members and grant access

Invite members and grant access. With multiple types of access, you can manage documents more securely.

Invite members

Invite members to use eformsign together. An invitation URL can be sent via an email or mobile number.

How to invite a member

Administrator Company Manager
  1. 1 Login to eformsign.
  2. 2 Go to Manage company > Manage members.
  3. 3 Click the 'Invite members' button on the top right corner.
  4. 4 Enter an email/member ID for email invitation, and name and mobile for SMS invitation.
  5. 5 Click the ‘+’ icon after entering an email or mobile number.
  6. 6 Click ‘SEND’ button.

Once a user accepts the invitation, the user will be shown as ‘Active’ in Manage company > Manage members.

Grant access

Access can be granted to each member. In eformsign, there are many different accesses. The company admin has access to all.

Company Administrator

  1. Access to all menus.
  2. Open, create, and manage all documents.
  3. Ability to transfer the company administrator role to another member.
  4. How to grant the role: As the company administrator, go to Manage company > Company Profile > Click the ‘Delegate Role’ button.

Company Manager

  1. View and edit company, group, and member information.
  2. Edit messages in eformsign email and SMS notification templates.
  3. How to grant the role: As the company administrator, go to Manage company > Manage members > choose a member and then tick the 'Manage company' option.

Template manager

  1. Access to the 'Manage templates' menu.
  2. Upload, edit, deploy, and delete templates.
    • A template manager may not neccessarily be the template owner of a template. Only the template manager who uploaded a template becomes the template owner of that template.
    • If a template manager is not the owner of a template, one can only view and duplicate the template.
  3. How to grant the role: As the company administrator, go to Manage company > Manage members > choose a member and then tick the 'Manage templates' option in the 'Member info' tab.

Document Creator

  1. Assign document creators to each template.
  2. A document creator of a template can create documents from that template in the 'New from template' menu.
  3. How to grant the role: As the company administrator or a template manager, go to 'Manage templates' and choose a template > Template settings > Set permissions > Template usage > Group or member > choose the members and groups that can create documents from the template.

Template Editor

  1. Assign template editors to each template.
  2. A template editor of a template can edit the template.
  3. How to grant the role: As the company administrator or a template manager, go to 'Manage templates' and choose a template > Template settings > Set permissions > Template editing > Group or member > choose the members and groups that can edit the template.

Document Manager

  1. Manage documents created from a template.
  2. If a member is assigned as a document manager of a template, then the member can open, delete, download (in PDF & CSV) documents created from that template in the 'Manage documents' page.
  3. How to grant the role: As the company administrator or a template manager, go to 'Manage templates' and choose a template > Template settings > Set permissions > Document management > Groups and members > choose the members and groups that can open, void, or permanently remove documents created from this template.
