{"id":13612,"date":"2024-07-05T17:40:10","date_gmt":"2024-07-05T08:40:10","guid":{"rendered":"https:\/\/www.eformsign.com\/en\/blog\/?p=13612"},"modified":"2024-07-05T17:40:13","modified_gmt":"2024-07-05T08:40:13","slug":"whats-new-in-eformsign-july-2024","status":"publish","type":"post","link":"https:\/\/www.eformsign.com\/en\/blog\/whats-new-in-eformsign-july-2024\/","title":{"rendered":"What&#8217;s new in eformsign: July 2024"},"content":{"rendered":"\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" width=\"1858\" height=\"982\" src=\"https:\/\/www.eformsign.com\/en\/blog\/wp-content\/uploads\/sites\/3\/2024\/07\/thumbnail.png\" alt=\"\" class=\"wp-image-13628\" \/><\/figure>\n\n\n\n<h1 id=\"trash\"><strong><strong><a href=\"#trash\" data-type=\"internal\" data-id=\"#trash\">[New] Trash feature<\/a><\/strong><\/strong><\/h1>\n\n\n\n<p>We have added the&nbsp;<strong>Trash<\/strong>&nbsp;page so that when a document is deleted, it is not deleted immediately, but goes to the&nbsp;<strong>Trash<\/strong>&nbsp;and is stored there for a period of time.<\/p>\n\n\n\n<p>Documents that you manually delete from an inbox or the&nbsp;<strong>Manage documents<\/strong>&nbsp;page, and those that are automatically deleted according to the&nbsp;<strong>Document retention period<\/strong>&nbsp;are stored in the&nbsp;<strong>Trash<\/strong>&nbsp;page, which is a new addition to the sidebar menu.<\/p>\n\n\n\n<ul><li>The&nbsp;<strong>Trash<\/strong>&nbsp;menu is visible to all members,&nbsp;but the list of documents shown and the available actions differ depending on your permissions (company administrator, document manager, member).<\/li><li>Documents sent to the&nbsp;<strong>Trash<\/strong>&nbsp;page are deleted permanently after 14 days, and members can manually restore or permanently delete them.<\/li><li>Restoring documents is only possible for manually deleted ones.<\/li><li>Documents in the&nbsp;<strong>Trash<\/strong>&nbsp;can be permanently deleted if they were deleted by you, while automatically deleted documents can only be fully deleted by the company administrator or a document admin. Permissions determine which articles can be fully deleted.<\/li><li>Depending on your permissions, you can delete the following documents.<ul><li><strong>Company administrator:<\/strong>&nbsp;All documents created by company members that are shown on the Manage documents page.<\/li><li><strong>Document manager:<\/strong>&nbsp;Documents in which you have been granted permission to delete that are shown in the Manage documents menu.<\/li><li><strong>Member:<\/strong>&nbsp;Your draft documents in your inbox and documents you created that have been rejected.<\/li><\/ul><\/li><\/ul>\n\n\n\n<h2 id=\"permanentdeletion\"><strong><a href=\"#permanentdeletion\">\u2705 Permanently deleting a document from Trash<\/a><\/strong><\/h2>\n\n\n\n<p>1.&nbsp;Click the&nbsp;<strong>Trash<\/strong>&nbsp;menu in the sidebar to navigate to the&nbsp;<strong>Trash<\/strong>&nbsp;page.<br>2. Click the&nbsp;<strong>Delete<\/strong>&nbsp;permanently button below the document you want to delete permanently. If you want to delete multiple documents, tick the boxes to the left of the documents and click the&nbsp;<strong>Delete Permanently<\/strong>&nbsp;button at the top of the screen.<br>3. In the pop-up displayed, click the&nbsp;<strong>Delete permanently<\/strong>&nbsp;button to delete the document permanently from the system.<br>\u2757 Caution: Permanently deleted documents cannot be restored.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" width=\"1280\" height=\"720\" src=\"https:\/\/www.eformsign.com\/en\/blog\/wp-content\/uploads\/sites\/3\/2024\/07\/0.1-GIF.gif\" alt=\"\" class=\"wp-image-13615\" \/><\/figure>\n\n\n\n<h2 id=\"restoration\"><strong>\u2705<a href=\"#restoration\" data-type=\"internal\" data-id=\"#restoration\">Restoring a deleted document<\/a><\/strong><\/h2>\n\n\n\n<p>1.&nbsp;Click the&nbsp;<strong>Trash<\/strong>&nbsp;menu in the sidebar to navigate to the&nbsp;<strong>Trash<\/strong>&nbsp;page.<\/p>\n\n\n\n<p>2.&nbsp;Click the&nbsp;<strong>Restore<\/strong>&nbsp;button below the document. If you want to restore multiple documents, tick the checkboxes to the left of the documents and click the&nbsp;<strong>Restore<\/strong>&nbsp;button on the top right corner of the screen.<\/p>\n\n\n\n<p>3. In the pop-up displayed, click the&nbsp;<strong>Restore<\/strong>&nbsp;button to restore the document to its original inbox.<br>\u2757 Note that you cannot restore documents that have been automatically deleted after the retention period has ended.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" width=\"1280\" height=\"720\" src=\"https:\/\/www.eformsign.com\/en\/blog\/wp-content\/uploads\/sites\/3\/2024\/07\/0.2-GIF.gif\" alt=\"\" class=\"wp-image-13616\" \/><\/figure>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h1 id=\"fortifiedsecurity\"><a href=\"#fortifiedsecurity\" data-type=\"internal\" data-id=\"#fortifiedsecurity\">[New]\u00a0<strong>Fortified Security<\/strong><\/a><\/h1>\n\n\n\n<p>For enhanced security, we have added the following security features.<\/p>\n\n\n\n<h2 id=\"2fa\"><strong><a href=\"#2fa\" data-type=\"internal\" data-id=\"#2fa\">1.\u00a0Two-factor authentication login<\/a><\/strong><\/h2>\n\n\n\n<ul><li>The&nbsp;<strong>Two-factor authentication<\/strong>&nbsp;feature uses Google OTP, email, or SMS authentication for additional verification at login to protect your account.<\/li><li>You can configure the settings in the&nbsp;<strong>Manage company<\/strong>&nbsp;&gt;&nbsp;<strong>Security settings<\/strong>&nbsp;&gt;&nbsp;<strong>Login settings<\/strong>&nbsp;menu and only the company administrator can access it.<\/li><li>If you enable this feature, you will be automatically logged out, and any subsequent logins will require two-factor authentication.&nbsp;<\/li><li>The default authentication method is&nbsp;<strong>Google Authenticator<\/strong>.<\/li><li>The default authentication method can be changed to any of the following if this feature is enabled.<ul><li><strong>Google Authenticator<\/strong><\/li><li><strong>Email verification code<\/strong><\/li><li><strong>SMS verification code<\/strong><\/li><\/ul><\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" width=\"1280\" height=\"720\" src=\"https:\/\/www.eformsign.com\/en\/blog\/wp-content\/uploads\/sites\/3\/2024\/07\/1.1-GIF.gif\" alt=\"\" class=\"wp-image-13617\" \/><figcaption>Enabling two-factor authentication login<\/figcaption><\/figure>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" width=\"1280\" height=\"720\" src=\"https:\/\/www.eformsign.com\/en\/blog\/wp-content\/uploads\/sites\/3\/2024\/07\/1.2-GIF.gif\" alt=\"\" class=\"wp-image-13618\" \/><figcaption>Changing the authentication method<\/figcaption><\/figure>\n\n\n\n<p> <\/p>\n\n\n\n<h2 id=\"disablemultiplelogins\"><strong>2. <a href=\"#disablemultiplelogins\">Disable multiple logins<\/a><\/strong><\/h2>\n\n\n\n<ul><li>The&nbsp;<strong>Disable multiple logins<\/strong>&nbsp;feature allows you to restrict&nbsp;multiple&nbsp;logins from the same account.<\/li><li>You can enable it in the&nbsp;<strong>Manage&nbsp;company<\/strong>&nbsp;&gt;&nbsp;<strong>Security settings<\/strong>&nbsp;&gt;&nbsp;<strong>Login settings<\/strong>&nbsp;menu and it can only be enabled by the company administrator.<\/li><li>When enabled, only the last device or browser you accessed (or logged into) will remain logged in, and everyone else will be automatically logged out.<\/li><li>When enabled, you can change the&nbsp;<strong>Auto logout time<\/strong>&nbsp;and&nbsp;<strong>Auto logout warning<\/strong>.<\/li><li><strong>Auto logout time<\/strong>&nbsp;allows you to set the time after which you are automatically logged out if no activity is detected for a certain&nbsp;period of time&nbsp;after signing in, from a&nbsp;<strong>minimum of 10 minutes to a maximum of 1,440 minutes (24 hours)<\/strong>.<\/li><li><strong>Auto logout warning<\/strong>&nbsp;allows you to set the time&nbsp;at which&nbsp;you want users to see a warning message before being automatically logged out. You can&nbsp;set&nbsp;it from&nbsp;<strong>30 seconds to 300 seconds<\/strong>.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" width=\"1280\" height=\"720\" src=\"https:\/\/www.eformsign.com\/en\/blog\/wp-content\/uploads\/sites\/3\/2024\/07\/2.1-GIF.gif\" alt=\"\" class=\"wp-image-13619\" \/><\/figure>\n\n\n\n<h2 id=\"lockinactive\"><strong>3<a href=\"#lockinactive\">. Lock inactive accounts<\/a><\/strong><\/h2>\n\n\n\n<ul><li>The&nbsp;<strong>Lock inactive accounts<\/strong>&nbsp;feature allows you to restrict logins from accounts that have not accessed eformsign for a certain&nbsp;period of time.<\/li><li>You can enable it in the&nbsp;<strong>Manage company<\/strong>&nbsp;&gt;&nbsp;<strong>Security settings<\/strong>&nbsp;&gt;&nbsp;<strong>Login settings<\/strong>&nbsp;menu and&nbsp;can&nbsp;only be enabled by the company administrator.<\/li><li>When you enable this feature, it restricts logins from accounts that have not logged in to eformsign for a set&nbsp;period of time&nbsp;from that point forward.<\/li><li><strong>Set inactive period<\/strong>&nbsp;allows you to&nbsp;set the period of inactivity after which accounts will be automatically locked. The inactive period can be set&nbsp;<strong>between 7 and 365 days<\/strong>.<\/li><li>Members with locked accounts can use eformsign after requesting the company administrator to unlock their accounts. The company administrator can unlock accounts on the&nbsp;<strong>Manage members<\/strong>&nbsp;page.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" width=\"1280\" height=\"720\" src=\"https:\/\/www.eformsign.com\/en\/blog\/wp-content\/uploads\/sites\/3\/2024\/07\/3.1-GIF.gif\" alt=\"\" class=\"wp-image-13620\" \/><\/figure>\n\n\n\n<h2 id=\"Manage-activity-history\"><strong><a href=\"#Manage-activity-history\">4. Manage activity history<\/a><\/strong><\/h2>\n\n\n\n<ul><li>The<strong>&nbsp;Manage activity history<\/strong>&nbsp;feature allows you to view the history of logins, profile revisions, downloads, and permissions, as well as download the history in the CSV format.<\/li><li>You can access it in the&nbsp;<strong>Manage company&nbsp;<\/strong>&gt;<strong>&nbsp;Manage activity<\/strong>&nbsp;history menu and it can be accessed only by the company administrator.<ul><li><strong>Login history:<\/strong>&nbsp;View the login history of company members.&nbsp;<\/li><li><strong>Profile revision history:<\/strong>&nbsp;View the revision history of members\u2019 profiles.&nbsp;&nbsp;<\/li><li><strong>Download history:<\/strong>&nbsp;View the download history and reason of company members.&nbsp;<\/li><li><strong>Permission management history:<\/strong>&nbsp;View the history of activities that occured in the<strong>&nbsp;Manage permissions<\/strong>&nbsp;page.<\/li><\/ul><\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" width=\"1280\" height=\"720\" src=\"https:\/\/www.eformsign.com\/en\/blog\/wp-content\/uploads\/sites\/3\/2024\/07\/4.1-GIF.gif\" alt=\"\" class=\"wp-image-13621\" \/><\/figure>\n\n\n\n<h2 id=\"Prevent-consecutive-digits\"><strong>5<a href=\"#Prevent-consecutive-digits\">.
